Fundamental Principles Regarding the Protection of Personal Information

Kitayama Trading, Inc. (hereafter referred to as "this Company") complies with the laws and regulations regarding the protection of personal information, and is dedicated to paying strict attention to the protection of customers’ important personal information.

HANDLING AND USE OF PERSONAL INFORMATION

Managing Personal Information

This Company will make every effort to manage the personal information of its customers in a safe manner. Appropriate safety management measures shall be implemented to prevent personal information from being lost, leaked, altered, or destroyed during the collection, usage and storage processes.

Purposes of Use

This Company uses personal information for the following purposes:

01To provide brokerage, management, and other services relating to real estate sales and lease agreements.
02To provide real estate–related sale, lease, broker, management, and other information.
03To provide information concerning post-agreement follow-up services.
04To provide information to third parties when doing so is within the scope of the uses stated in 1, 2 and 3 above.
05To implement and to provide information and services for insurance agreements for real estate handled by this Company.

Types of Information Collected

Information collected is primarily the following personal information: name, gender, birthdate (age), home address, telephone number, fax number; generally sought real estate–related property information (location, structure, site and building size, floor plan, fixtures and fittings, etc.); and other information requested on applications, contracts, questionnaires, etc.

This information is used for the purpose of collecting the personal information described above. Regarding providing to and sharing information with third parties, this Company does not disclose, provide, or share personal information collected from customers except in the cases below. Information provided are items required for conducting business, such as full name, address, telephone number, property information, and contract information, provided via printed documents, telephone, email, Internet, advertising media, and so on. When requested by the person concerned, this Company does not provide information to any third party from then on.

Disclosure or Distribution of Personal Information to a Third Party

Except in the following cases, personal information collected from customers shall not be disclosed or distributed to a third party:

01When the customer gives their consent.
02When stated by law.
03When disclosing information that has been processed so that individuals cannot be identified.
04When it is difficult to obtain the consent of the customer in order to protect a person's life, person or property.
05When entrusting the handling of personal information, to the extent necessary for conducting business, to a cooperating company or subcontractor that has signed a nondisclosure agreement with this Company.
06When requested to disclose information according to law by a public institution such as a law-enforcement agency, court of law or government office.

Disclosing, Amending, Deleting or Stopping Stored Personal Data

If a customer's personal information is recorded incorrectly and a request is received from the customer, the data may be amended, changed or deleted upon confirmation from the customer. Furthermore, if personal information is handled by this Company in a manner other than which it should be used or is provided to a third party against the law, the circulation of personal information shall be stopped immediately or cancelled. (In this case, the customer shall be requested to provide publicly recognized identification in the form of a driver's license, passport, etc.)

Ongoing Improvements to the Personal Information Protection System

This Company has developed its own internal regulations regarding the protection of personal information, and is continually making improvements to these regulations.

Cookies and Third Parties

We use the following services to analyze website usage and improve our services.

Google Analytics v4 — We send to Google Analytics through the default implementation de-identified information such as number of users, session statistics, approximate geolocation, browser and device information for measuring performance and carrying out internal marketing research.

Google Tag Manager — In order to monitor and provide diagnostics about system stability, performance, and installation quality, we use Google Tag Manager. This may collect some aggregated data about tag firing. This data does not include user IP addresses or any measurement identifiers associated with a particular individual. Other than data in standard HTTP request logs, all of which is deleted within 14 days of being received, and the diagnostics data noted above, Google Tag Manager does not collect, retain, or share any information about visitors to our customers’ properties, including page URLs visited.

Google reCAPTCHA — We provide functions to ensure the security of our websites and applications, as well as to detect unauthorized use and take appropriate action. We may send the following information: IP address; URL of the website or screen name of the application that was viewed; date and time of browsing (used to calculate time spent on the site, etc.); type and version of web browser and device.
